Why Assistant Launch?

Why an Executive Assistant and not a Virtual Assistant?

Your dedicated Executive Assistant will grow to know you, your work, and your preferences—all while learning to anticipate your needs without you having to repeat yourself. More than an assistant, you will be working with problem solvers who will become your new right hand. With a Virtual Assistant, you would work on a one-to-one basis, continually submitting tasks directly to this person.

Why hire through Assistant Launch vs Hiring an Executive Assistant on my own?

At Assistant Launch, we hire only the top 1% out of every thousand applicants. Our custom hiring process enables us to hire experienced, skillful, fast-learning individuals who we know can add value to our clients from day 1. Each of our Executive Assistants is trained to leverage the power of AI to multiply their output and to implement good practices from years of experience providing the highest quality support through Executive Assistance.

Continuous Improvement System

All of our Executive Assistants are paired with a Client Success Manager who is responsible for their continuous improvement and development. We collect feedback on a monthly basis and create custom training plans for our Executive Assistants to enable them to continue to raise the bar every month. Additionally, we take pride in staying at the forefront of technology, and we consistently develop training that enables our EAs to take advantage of such developments.

Member Onboarding

What does Onboarding look like and how long will it take?

The first step in the Onboarding Process is to jump on the Onboarding Call, we will dive deep into your needs, your preferences, and your style. Using the information from the Onboarding Call, we will kick off our pairing process, and you can expect to hear back from us in 72 hours with a pairing decision. Then, it is just a matter of scheduling your introduction call, where we will get things going and make sure that everything is set for success.

From the moment you sign up, to your kick-off day, you can expect for the process to take 15 days or less.

Who do I receive support from during the Onboarding?

During the Onboarding Process, you will be working directly with our COO, who will take care of the Onboarding Call and keep you up to date with any developments in the process. Additionally, a Client Success Manager will keep a close eye on the pairing, ensuring your new Executive Assistant has access to all the resources needed to support you.

What's expected from my end?

We take all the steps to make the onboarding process as smooth and efficient as it can be, but it is still recommended to plan on having at least an hour of daily availability to work with your EA during the first 2 weeks of your pairing.

As a good practice before kick-off day, it is recommended to put together a list of the tools that your Executive Assistant will need to have access to, as well as any resources you would like for him/her to review during their first day/few days on the job. For day 1, a kick-off meeting a the beginning of the day is ideal.

How can my EA help me?

We are highly focused on generating ROI and our services are highly personalized. That being said, we will pair you with an Executive Assistant who has the experience and skill set to support you with the key tasks you need assistance with.

All our Executive Assistants will be able to take off tasks such as email management, calendar management, CRM management, invoice management, database maintenance, social media management, light video editing, light graphic design, document drafting, and any other specialized task that you specify during your onboarding process.

Does my EA work with other clients?

No, your Executive Assistant is fully dedicated to supporting you. A 1:1 relationship enables your EA to better understand what you do, and how you do it, and take care of issues before you even know about them.

Can I share my EA with my executive team and or business partner?

Depending on the plan that you choose, you might be able to share your Executive Assistant with another important person in your life (Spouse, Business Partner, etc)

With our part-time plan, your EA will occasionally support colleagues and loved ones (organizing a team offsite or family trip), but you are their one-and-only delegator.

With our full-time plan, there can be up to two consistent delegators who can work directly with your Executive Assistant.

What time zone does my EA work in?

Your EA will work on your preferred schedule. Most of our Executive Assistants are located overseas, but they have years of experience working in sync with US timezones.

Whether your EA works during your time zone or asynchronously is up to you.

Are their best practices for setting my EAs schedule?

We've found that it is more effective for you to set up a single working block vs split hours throughout the day. Also, at least at the early stages of your pairing, it is ideal that there is at least some overlap between you and your EA.

Finally, working schedule decisions are not definitive, but you can make changes over time as you identify what works best for you.

How many hours a week does my EA work?

Depending on the plan that you choose your Executive Assistant can work anywhere between 25 and 40 hours per week.

Part-time plan: 25 hours per week, 5 hours per day.

Full-time plan: 40 hours per week, 8 hours per day.

What happens if my Executive Assistant works less or more hours than agreed?

We understand that some weeks can be busier than others, and therefore that unused hours on your budget from one week/month can roll over to the next one. Those hours can then be used on busier or weeks or when you need support with a special project.

Now, if you are consistently over budget, we will reach out to discuss the best alternatives and next steps.

How do I provide feedback on my EA's performance?

We proactively collect feedback on your EA's performance on a monthly basis. Although, you also have the option to submit extraordinary feedback at any moment, if there is something that requires our immediate attention. You can expect to hear back from us within the same day for feedback that required immediate attention.

What happens if things with my EA are not working out?

We have spent years perfecting a process that enables us to be successful with our first pairing decision most of the time. But, sometimes it can happen that a partnership does not work out. If that happens, our Client Success Manager will address any concerns or performance issues with the Executive Assistant and work to resolve them.

While this doesn’t happen often, if your assistant needs to be replaced, we'll implement a smooth and tested transition plan with a new EA, minimizing
disruptions in your workflow. We typically provide transition credits in this situation.

Pricing & Payment

Pricing and Payment Terms

Part-time: Your EA works 25 hours per week (100 hours per month) for $1,500 per month.

Full-time: Your EA works 40 hours per week (160 hours per month) for $2,400 per month.

All the following are included for both of our plans:

- Fully managed Executive Assistance, no admin hassle
- Custom onboarding and pairing based on your needs
- Personal support from your assistant
- Continued education for your Executive Assistant
- Brainstorming sessions to help you save more time
- Monthly feedback requests from our team and a direct extraordinary feedback channel
- Full-time customer support and a dedicated success manager

How does my EA receives payment?

Your Executive Assistant is employed and paid through Assistant Launch. We ensure that they are compensated timely, and that they are supported across all areas.

What benefits does my EA receive?

Assistant Launch offers the following to every EA:

- Performance evaluations and raises to adjust for the cost of living (every 6 months).
- Continuous training and programs for up-skilling.
- Established communication channels to share things they've learned, exchange best practices, and celebrate achievements.
- Full-time support from a dedicated Client Success Manager.

Security and Devices

How do you ensure security, privacy and confidentiality?

At Assistant Launch we take security, privacy, and confidentiality very seriously. We are proud to say that since we started, we have never experienced a negative event around this area. Nonetheless, we are consistently investing and making sure that we and our clients are protected. What we do includes, but it is not limited to:

- Our EAs have what's called an NBI clearance, which is a type of background check.
- All of our EAs are required to sign Confidentiality and Nondisclosure agreements.

Can I require my EA to sign an NDA?

As we mentioned above, we require our Executive Assistant to sign an NDA, but you can have your EA sign an NDA for your company as well.

What tools are provided to my EA?

Your EA is granted access to several software tools that enable them to, secure their devices, make calls on your behalf, keep track of tasks/projects, leverage AI, organize information, and more.

I just signed up! What can I expect next?

First, welcome aboard! After signing up, we begin the onboarding process right away. After the onboarding process, we’ll have a few calls to introduce you to our systems and your new Executive Assistant. From there, we’ll be with you every step of the way to make sure you’re taken care of.

Do my hours roll over?

As a monthly membership service, our clients subscribe to us for the ability to retain an Executive Assistant. While each plan offers a different level of service, as a membership subscription our plan hours do not rollover, and your membership fees are not tied to time specifically.

Will my Executive Assistant be working on the weekend?

Our Virtual Assistants work standard business hours, Monday through Friday and are not required or expected to work on weekends or after 6 p.m. unless otherwise agreed upon prior. Luckily, in many cases our Executive Assistants in the Philippines work hours that overlap and work to your benefit! You can submit your tasks anytime, day or night, weekday or weekend. If submitted before/after business hours, your Virtual Assistant will receive the task(s) the following business day to begin working on them.

Will my Executive Assistant be working on holidays?

Because Assistant Launch Assistants are located in the Philippines, many of the regularly observed holidays – they will be spending time with family and friends just like you. The best way to find out is to speak with your Executive Assistant ahead of time.

Can my Executive Assistant handle scheduling?

Absolutely. Your Virtual Assistant can coordinate meetings, schedule appointments, and manage your Google Calendar with ease. Simply share and grant your Virtual Assistant access to manage your calendar. It is that simple!Our Virtual Assistants exclusively use and manage Google Calendars. At this time we cannot guarantee support for Outlook, iCal, or other calendar applications, though we will do our best to accommodate your needs.

Can my Executive Assistant make purchases on my behalf?

Yes! Your Virtual Assistant can place orders, make purchases, and schedule payments safely and securely. To share credit card information, passwords, and other sensitive data, simply keep it safe in the password manager of your choice. This way, we can ensure your information remains safe. At Assistant Launch, we are committed to the security of your account!

Can my Executive Assistant make outbound phone calls for me?

They sure can but with some limitations. Your Executive Assistant is happy to contact vendors, make reservations, and place phone calls for you but they cannot make sales or prospecting calls to solicit customers.

How about in-bound phone calls?

Yes and no. Every Executive Assistant will be accessible to you by phone. However, this line is available for your convenience alone. Your Virtual Assistant generally cannot accept calls from contacts, vendors, or service providers on your behalf.

Can my Executive Assistant keep my inbox organized?

They can! Your Executive Assistant can read, send, delete, organize, filter, and create rules for messages on your behalf. It’s a great way to stay on top of email and keep your inbox tidy.

Can my Executive Assistant edit and format a presentation for me?

They sure can. Your Executive Assistant can use Google Presentations to format and edit personal or business presentations with your provided content, images and detailed instructions.

Can my Executive Assistant work with my project management tools or other specialized software?

All of our Executive Assistants go through a rigorous certification process so that they can best serve you from day one. Our assistants use a specific project management process to free up as much of your time as possible and make your life easier.

Can my Executive Assistant help with my accounting needs?

Your Executive Assistant will happily find you an excellent bookkeeper or CPA. However, due to certain legalities and a specific knowledge of the domain, Executive Assistants are unable to provide assistance with Quickbooks or other accounting tools.

Can my Executive Assistant do design work for me?

Your Virtual Assistant can certainly research and vet qualified freelancers or graphic design agencies. However, as talented as your Virtual Assistant is, they cannot personally provide assistance with design projects unless they are otherwise qualified.

How about video or audio editing?

Much like design work, audio and video editing requires domain expertise which your Executive Assistant will not be able to provide. If you need to find a good editor though, your Executive Assistant will gladly hunt down the best! The exception to this rule is simple audio editing, combining, splicing, etc. – we like think that the sky’s the limit!
